Title: Finance Administrative Assistant
Reports to: Vice President of Finance and Operations
Status: Part-time, approximately 20 hours per week
Classification: Hourly, Non-Exempt

The Finance Administrative Assistant works with the Vice President of Finance and Operations and other members of the finance office on a variety of accounting and administrative tasks including but not limited to invoice reconciliation, expense vs. budget reporting, human resources enrollment processing, and facility and meeting preparation.

Summary of Essential Job Functions
  • Reconciles and reports finance and operations expenses to appropriate budget or contractual expected expenses.
  • Processes onboarding, benefits, and general human resources tasks for new, existing, and former employees.
  • Manages the volunteer training and clearance process for the school.
  • Manages the school purchasing processes for Amazon, Office Depot, and other major vendors.
  • Reviews and organizes insurance requirements for third party rentals and other groups operating on campus.
  • Assists the Vice President of Finance and Operations with administrative tasks such as meeting material preparation, facility reservations, and meeting coordination and scheduling.
  • Create, manage and assist with ad hoc processes and reports as requested.
Qualifications
  • Bachelor’s degree, preferably in Finance, Accounting, or related field.
  • Preference of at least two years in a professional office setting.
  • Ability to communicate effectively with people at all levels in the organization.
  • Ability to effectively deal with multiple priorities, functions, and activities.
  • Working knowledge and skill of basic business software, including word processing, spreadsheet and data base tracking systems.
Physical Requirements and Work Environment
  • Occasionally lift up to 30 pounds.
  • Generally works in standard office conditions and climate.
  • Works in a highly stressful environment dealing with a wide variety of challenges, deadlines and a varied and diverse array of contacts.
  • May work at a desk and computer for extended periods of time.
